View Full Version : Opening externally Archived Outlook Emails???

Hello All Computer Techie types,
I archived some Outlook based emails from around 2007. When I go to open the message a pop up window appears "messages must be opened within Outlook". Umm well I have looked at my Outlook folder and I cannot find a tab choice that says "open".
How does one access an externally archived set of email messages while in Outlook to appease the popup window?

Depending on the verision of outlook.
in the file menu there used to be an import function hit that then select the .msg files you want to bring in.
you can drag and drop them from your explorer window into the folder you want to have them sit in.
you can get any number of third party programs that will do the conversion for you
there are some online sites that offer the same service.

You can add the archive file to Outlook and then open any of the messages the same way you would otherwise. If your archive is in an outlook file format (*.pst) this should work.
Depending on the version you are using, you want Account Settings. In 2010 click File -> Info. There will be a button for Account Settings, Click it and click the popup telling you what it does. The account settings dialog box will open.
Click the Data Files tab on the dialog box, Then click Add...
That opens the Windows common dialog for opening files. Navigate to your Archive. If it is in a pre 2002 Outlook data change the file type to suit. Select the file and click OK. Then click Close on the Account Settings dialog box.
If you do this you can set your auto-archive settings to keep using your archive...

Thanks for the replies
The computer has Outlook 2013 loaded on it. There are no "File" tabs or "Data Files" tabs or "Import" tabs on it. :mad:
I did look and I went through each tab on the top of the screen. Nothing useful came up like "open" or "browse" options.

Steve is on the right path, but in Outlook 2013 they hide it.;)
First thing I would do is look on the left side of your normal Outlook Mail screen where inbox drafts etc is.... scroll right to the bottom and see if there is something that says personal folders or Archive or similar.
If there is - expand it by clicking the triangle to its left.. and you should find your archived mail.
If not - you have to do as Steve said and add the archive folder - which is a .PST file.
There are at least two ways to do it: (Knowing where the file is helps.)
Method 1:
Top left hand corner it should have a file tab. > Select that.
From the menu down the side select Open & Export.
You should now have an option available to "Open Outlook Data File"
Navigate to the file and open it.
(By default outlook will store it in C:\Users\YourUserName\AppData\Local\Microsoft\Outl ook\Archive.pst. )
Method 2:
Top left hand corner it should have a file tab. > Select that.

You will have an option on the right "Account and Social Network Settings" . Click it and choose "Account setting "
The second tab on the box that opens has "Data Files"
Open that and you will either see where the archive folder is - or be able to add it from there.
